Terms & Conditions of Services
These Terms & Conditions explain how Bus 4 Hire provides charter bus, coach, and transport services. By making a booking, paying a deposit, or using our services, you agree to these Terms & Conditions.
Please read them carefully to understand how your charter will operate.
1. Passenger Behaviour
To ensure a safe and enjoyable journey:
- The driver is responsible for the safe operation of the vehicle at all times.
- Passengers must behave safely and respectfully.
- Bus 4 Hire may refuse entry or remove any passenger acting unlawfully, dangerously, or disruptively.
- The Hirer is responsible for passenger conduct and any damage caused to the vehicle.
- Smoking, vaping, and e-cigarettes are strictly prohibited.
- The driver may terminate a charter if behaviour compromises safety.
- Passengers must not interfere with vehicle doors, safety equipment, or fittings.
2. Food & Drinks
To maintain cleanliness and safety:
- Food and drinks are not permitted onboard, except bottled water.
- All rubbish must be removed when leaving the vehicle.
- Cleaning fees may apply if the vehicle is left excessively dirty.
3. Alcohol
Bus 4 Hire does not allow alcohol onboard.
- No alcohol may be consumed.
- No alcohol may be carried onboard without prior written approval.
- If alcohol is consumed without approval, the charter may be terminated without refund and cleaning/penalty fees may apply.
Bus 4 Hire does not operate party bus services.
4. Additional Fees & Charges
Additional fees may apply for:
- Route or schedule changes requested by the Hirer.
- Toll roads, parking fees, entry fees, or access charges.
- Waiting time beyond the agreed pickup time.
- Cleaning, damage, fines, or penalties caused by passengers.
Waiting Time Fees:
- Minibuses: $30 per 15 minutes
- Coaches: $50 per 15 minutes
A 15-minute grace period applies.
5. Cancellations & Refunds
All cancellations must be made in writing.
Cancellation fees:
- Within 48 hours: 100%
- 3 days prior: 70%
- 4 days prior: 50%
- 5 days prior: 35%
- 6 days prior: 20%
- 7 days prior: 10% (or deposit forfeited, whichever is greater)
If the vehicle has left the depot and the service is not used, full charges apply.
If Bus 4 Hire cannot complete the service due to mechanical failure, a partial refund will be issued for the portion not delivered.
We do not cover indirect losses such as event tickets, accommodation, or consequential expenses.
6. Tentative Bookings
- Tentative bookings are held for 3 days only.
- A 20% non-refundable deposit is required to confirm the booking.
7. Quotes
- Quotes are valid for 14 days.
- Prices may change if charter details are amended.
8. Payments
- A 20% non-refundable deposit is required for most bookings.
- Full payment is due 7 days before the service unless otherwise agreed.
- Bookings made within 7 days require full payment at the time of booking.
- Failure to pay may result in cancellation with full fees payable.
- Late accounts may incur interest and recovery costs.
Accepted payment methods: Visa, Mastercard, AMEX, JCB, EFT.
We do not accept cheques or cash on the day.
Bus 4 Hire may debit the Hirer’s card for overtime, damages, cleaning, tolls, fines or unpaid charter costs.
9. Delays & Breakdowns
Travel times are estimates only.
Bus 4 Hire is not responsible for delays caused by:
- Traffic, weather, roadworks or accidents
- Mechanical issues
- Any circumstance beyond our control
Delays do not entitle the Hirer to a refund.
10. Driver Hours & Safety
Drivers must comply with fatigue management laws.
Routes or schedules may be adjusted to maintain safety and legal compliance.
11. Passenger Property
- Luggage is carried at passengers’ own risk.
- The driver determines whether items can be safely stored.
- Bus 4 Hire is not liable for lost or damaged property.
- Lost property is held for 3 weeks before disposal.
12. Vehicle Features & Equipment
- Vehicle features (e.g., DVD players) cannot be guaranteed.
- Substitute vehicles may be used if required.
- Public film screenings require a valid licence supplied at least 48 hours prior.
13. Operational Requirements
- Bus 4 Hire may subcontract services when necessary.
- The driver may adjust the route for safety or operational reasons.
- Requests made during the journey are at the driver’s discretion.
14. Overnight & Extended Charters
For multi-day charters:
- A private hotel room (minimum 3-star standard) must be provided for each driver.
- A meal allowance may apply.
- A full itinerary must be supplied prior to travel.
15. Complaints
Complaints must be submitted in writing.
Bus 4 Hire maintains complaint records in accordance with NSW transport regulations.
16. Notices & Signage
No decorations, signs, or materials may be attached to the vehicle without prior approval.
Any related costs may be charged to the Hirer.
17. Governing Law
These Terms & Conditions are governed by the laws of New South Wales, Australia.
18. Force Majeure
Bus 4 Hire is not liable for disruptions caused by events outside our control, including severe weather, natural disasters, accidents, or government actions.
19. Liability
Bus 4 Hire is not responsible for indirect or consequential loss, including missed events, loss of income, or replacement transport.
Our maximum liability is limited to the charter fee for the affected portion of the service.
20. Price Adjustments
Prices may change due to:
- Fuel increases
- Industry or regulatory changes
- Market conditions
- Modifications to the itinerary
21. Prohibited Items
The following are not permitted onboard:
- Alcohol
- Decorations
- Smoking or vaping devices
- Glass items
- Spiked footwear
- Fuel containers
- Generators
- Illegal substances
22. Entire Agreement
These Terms & Conditions constitute the entire agreement between the Hirer and Bus 4 Hire and supersede any prior verbal or written agreements.
